Internship Dates: June 1st - August 13th. The expected schedule is Monday thru Thursday from 9:00 a.m. to 5:00 p.m.

ORGANIZATIONAL OVERVIEW

 

The MJS Foundation, Inc, is a private family foundation formed in 2011 to further the philanthropic goals of its founders, Marilyn and Jim Simons. The Foundation is dedicated to improving the lives of New Yorkers, with a particular focus on those in need. Its philanthropic priorities include education, culture, and social services in New York City; autism, special education, and related services; healthcare, including mental health; and limited support for the Stony Brook–area community.

 

The MJS Foundation also provides management support to three additional foundations: the Nick Simons Foundation (NSF), Nick Simons Foundation International (NSFI), and Foundation for a Just Society International (FJSI). Through service agreements with MJS, the Office Operations Intern will support all program, administrative, and grants management operations of MJS, NSF and FJSI.

 

The Simons Foundation is an affiliated organization of the MJS Foundation and shares the same founders.

 

POSITION SUMMARY

 

The MJS Foundation administration team is seeking an intern interested in learning about the day-to-day operations of a small nonprofit foundation. This role offers hands-on exposure to office operations, facilities management, event support, vendor coordination, and basic accounts payable functions.

 

The Office Operations Intern will work onsite in our offices in New York City. The expected schedule is Monday thru Thursday from 9:00 a.m. to 5:00 p.m. (with one-hour unpaid lunch break). This internship is expected to run from June 1 until August 13, 2026.

 

 

ESSENTIAL FUNCTIONS/RESPONSIBILITIES

Reception & Front Desk Support

  • Answering the Foundation’s main phone line and directing calls appropriately
  • Coordinating guest arrivals and notifying hosts
  • Greeting guests and directing them to meeting spaces and restrooms
  • Preparing conference rooms for meetings and lunches
  • Ordering meals for meetings
  • Receiving deliveries and sorting incoming mail
  • Preparing outgoing mail and scheduling courier pickups
  • Monitoring office, pantry, and supply inventories and placing orders as needed
  • Liaising with cleaning crews when necessary and monitoring work quality

General Office Support

  • Maintain a clean and professional appearance of common areas
  • Operate office equipment (printers, copiers, scanners, audiovisual equipment)
  • Assist with basic equipment troubleshooting and coordinate vendor repairs
  • Escort vendors and service providers as needed
  • Support conference room scheduling and setup
  • Assist with internal communications, including emails, memos, and reports
  • Support planning and execution of onsite and offsite Foundation events
  • Collaborate with colleagues and assist where needed

Finance & Administrative Support

  • Prepare and code invoices; follow up with vendors on discrepancies
  • Maintain vendor records
  • Assist with expense reports and approvals
  • Support routine month-end procedures
  • Assist with special projects as assigned

QUALIFICATIONS

  • Proficiency in Microsoft Office and Google Workspace
  • Able to keep tasks, information, and deadlines organized
  • Ability to manage information, data, and files accurately
  • Interest in learning and collaborating with the MJS team
  • Interest in office operations, administration, or human resources
  • Ability to maintain confidentiality and exercise discretion
  • Positive attitude with strong customer service skills
  • Professional personal presentation
