PRIMARY PURPOSE: 

The primary purpose of this role is to provide administrative support across the organization while gaining hands-on exposure to the insurance industry through structured shadowing. The Intern assists with data entry, document preparation, filing, and general office tasks, and observes experienced professionals across various departments – including underwriting, claims, and client service – to learn how policies are quoted, issued, and serviced. This position is designed for an entry-level individual who is eager to learn, detail-oriented, and reliable, and who will contribute to the day-to-day efficiency and success of the team.

MINIMUM QUALIFICATION REQUIREMENTS 

  • Currently pursuing or recently completed a high school diploma or equivalent; coursework in business, finance, or a related field a plus.
  • Strong written and verbal communication skills, with proficiency in Microsoft Office (Word, Excel, Outlook) or equivalent.
  • High attention to detail and strong organizational skills.
  • Able to handle confidential information with discretion and professionalism.
  • Reliable, punctual, able to work both independently and as part of a team, and genuinely interested in learning about the insurance industry.

ESSENTIAL FUNCTIONS:  

  • Performing general administrative tasks such as data entry, filing, scanning, and organizing physical and digital records.
  • Maintaining and updating customer and policy information in the Agency Management system under supervision.
  • Processing incoming and outgoing mail, email and faxes – retrieve, sort, scan, direct, and deliver items.
  • Preparing, formatting, and proofreading documents, spreadsheets, and correspondence.
  • Answering, directing, and/or distributing incoming phone calls and emails, and assisting with basic client inquiries under supervision.
  • Scheduling meetings, managing calendars, and helping to coordinate team logistics.
  • Shadowing underwriters, claims adjusters, and account managers to learn how policies are quoted, issued, and serviced.
  • Sitting in on client calls and internal meetings to understand the full insurance lifecycle.
  • Assisting with tracking deadlines, renewals, and follow-up items.
  • Supporting special projects and other administrative duties as assigned.

OTHER FUNCTIONS: 

  • Performs all other tasks assigned.

WORKING CONDITIONS/OTHER REQUIREMENTS: 

This position is performed primarily in an office environment and requires prolonged periods of sitting at a desk and working on a computer. The role involves repetitive hand and finger movements, including typing and using a mouse, as well as extended screen time. The workspace is typically climate-controlled with standard office lighting and noise levels. Occasional walking, standing, or light lifting (up to 15 pounds) may be required.
