Job Description 

REPORTS TO: EVP of Communications STATUS:   non exempt

POSITION SUMMARY:

As an Event Specialist Intern, you will be responsible for assisting in the planning and execution of a broad scope of corporate events with a significant focus on the company’s Annual Meeting in November 2025. This internship offers hands-on experience in event management and is ideal for someone interested in marketing, hospitality, or project coordination.  

 

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

  • Assist with event planning tasks including logistics, vendor coordination, and scheduling
  • Support event promotion efforts through social media, email campaigns, and printed materials
  • Help manage event registrations, guest lists, and RSVP tracking
  • Provide on-site event support (setup, registration desk, load-out)
  • Coordinate post-event follow-ups, including surveys, thank-you notes, and reports
  • Maintain and organize event materials and documentation
  • Collaborate with internal teams to ensure brand consistency and seamless execution

 

Qualifications:

  • Current student or recent graduate in Event Management, Marketing, Communications, Hospitality, or related field
  • Strong organizational and time management skills
  • Excellent verbal and written communication
  • Ability to work independently and as part of a team
  • Comfortable working in a fast-paced, deadline-driven environment
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint); experience with Canva a plus
  • Flexible schedule and willingness to occasionally work evenings or weekends during events

WORK ENVIRONMENT 

You are required to work both inside and outside the office, including outdoor activities and events.  This role involves frequent exposure to outside elements, where temperature, weather, odors, and landscape may be unpleasant and/or hazardous.
