DescriptionInterns will gain hands-on exposure to the processes and operations of the Catering Convention Services Department. Through observation and guided participation, they will develop an understanding of how information is coordinated and communicated across departments within the property. Interns will have the opportunity to attend and observe key meetings, including Banquet Event Order (BEO) meetings, resume meetings, and Pre-Convention meetings. Through direct client interaction and collaboration with managers, interns will build customer service, communication, and organizational skills. They will develop foundational knowledge of industry terminology, menus, event diagrams, Fire Marshal regulations, and standard catering and convention practices. By the end of the internship, students will have a comprehensive understanding of how to manage a group from start to finish and apply their academic learning in a professional hospitality environment.
Responsibilities
- Participate in Banquet Event Order (BEO), resume, and operational meetings to understand event planning and execution processes.
- Assist in the creation and organization of banquet event orders, meeting room diagrams, and operational documents.
- Support pre-planning discussions with clients and interpret meeting and convention specifications.
- Collaborate with operations teams to review and execute BEOs, ensuring seamless event delivery.
- Work directly with culinary teams on menu preparation and coordination of food and beverage services.
- Assist with meeting and event setup, including room configurations, equipment inventory, and weekly operational planning.
- Gain exposure to Audio-Visual services, including equipment, production needs, and event technology requirements.
- Develop an understanding of vendor and client relationships, including coordination with external partners for exhibits, power, internet, and production services.
Qualifications
- Currently pursuing a bachelor’s degree with junior or senior standing (by credit hours required).
- Preferred major in Hospitality, Hotel Management, Event Planning, or a related field.
- Strong interest in catering, convention services, or event operations within the hospitality industry.
- Demonstrated organizational skills and attention to detail, with the ability to manage multiple tasks and priorities.
- Effective verbal and written communication skills, with a customer-service-oriented mindset.
- Ability to work both independently and collaboratively in a fast-paced, team environment.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint); familiarity with event planning software is a plus.
- Willingness to learn, take initiative, and maintain professionalism when interacting with clients, vendors, and cross-functional teams.
ADDITIONAL REQUIREMENTS
- Ability to stand, walk, and move throughout event spaces for extended periods, including navigating banquet rooms, kitchens, and conference areas.
- Capability to occasionally lift and carry materials or equipment up to 25 pounds (e.g., event materials, signage).
- Strong attention to detail and ability to manage multiple tasks in a fast-paced, deadline-driven environment.
- Effective communication and interpersonal skills to interact professionally with clients, vendors, and cross-functional teams.
- Flexibility to work varied schedules, including early mornings, evenings, weekends, and holidays based on event needs.
- Comfortable working in a dynamic hospitality environment with exposure to noise, large crowds, and varying event conditions.
