Job Description

POSITION OVERVIEW

The Office Administrator is a key contributor to the smooth day‑to‑day operations of the Oakville office. This role provides integrated support across office administration, facilities, fleet coordination, human resources, health and safety, and employee engagement. The position helps maintain a safe, organized, and positive workplace while ensuring efficient processes and high-quality service to employees and visitors.

Key Responsibilities

    • Office Administration, Facilities & Front Desk Support
      Manage mail/courier services, visitor sign‑in, meeting and event support, building access, property‑management coordination, office services (supplies, cleaning, printers, coffee, etc.), and general office upkeep.
    • Fleet & Asset Support
      • Maintain driver records, assign vehicles, and support annual MVR reviews.
      • Assist with vehicle selection, insurance renewals, and exception reporting (fuel, maintenance).
      • Support drivers during incidents and help implement fleet policies.
      • Ensure drivers have required transponders (407 ETR / A30 / A25).
    • HR, Health & Safety Support
      Assist with onboarding and employee documentation; support H&S inspections (fire extinguishers, first aid kits, AEDs), fire drills, PPE kits, and JHSC activities; maintain safety boards and related documentation.
    • Employee & Community Engagement
      Support monthly engagement activities, Sika Day, internal events, digital displays, bulletin boards, and community involvement initiatives.
    • Additional duties as assigned.

    Qualifications

    QUALIFICATIONS

    • Office Administration certificate (or related field) preferred.
    • 2+ years of experience in office coordination, or facilities support (an asset).
    • Strong organizational skills and attention to detail.
    • Ability to manage multiple priorities in a fast‑paced environment.
    • Strong communication and interpersonal skills.
    • Proficiency with Microsoft Office and comfort working in digital systems
    • Discretion and professionalism when handling confidential information.

    WORKING CONDITIONS/ PHYSICAL DEMANDS

    • Work is performed primarily indoors in an office environment, with the flexibility to work from a home office where applicable. The environment is climate‑controlled with air conditioning and heating as required.
    • An ergonomic workstation is provided or supported to enable safe and comfortable work conditions.
    • The role requires frequent communication by phone, email, and virtual meeting platforms throughout the workday.
    • Occasional light physical activity may be required, such as setting up meeting spaces, handling office supplies, or moving small items.
    • The position involves extended periods of sitting, screen use, and keyboard work.
