Role Description

Summary 

Fearless’ internship program provides college students and recent graduates with real-world experience in and knowledge of the government tech industry. This 10-week program is a full-time, paid, hybrid internship (3 days remote, 2 days in office) that will give you not just technical skills, but a broad variety of professional skills, such as interviewing, creating resumes, and networking for job readiness. 

The Event Coordinator Intern will be a member of the Fearless Institute Team. This internship opportunity will provide hands-on experience in planning, organizing, and executing events and conferences that align with our company's goals. You'll support a variety of event types including industry conferences, networking meetups, workshops, and virtual webinars.

Responsibilities and Contributions 

  • Assist in planning and coordinating events, including logistics, vendor communication, stakeholder support, and on-site execution.
  • Support the development of event materials, such as invitations, schedules, and promotional content.
  • Manage event-related administrative tasks, including tracking budgets, maintaining databases, and compiling reports.
  • Help source and communicate with vendors, venues, and other external partners.
  • Coordinate event registration, guest lists, and attendee communications.
  • Assist in social media and marketing efforts to promote events.
  • Provide on-site support during events, ensuring smooth execution and handling any issues that arise.
  • Create event documentation including run-of-show documents, event briefs, and post-event reports.
  • Conduct post-event evaluations and compile feedback for continuous improvement.
  • Set up and tear down event spaces, including arranging furniture, signage, and basic AV equipment.

Essential Skills, Experience, or Competencies  

Must-Have Skills

  • Currently taking classes or majored in General Business, Marketing, Communications, or a related field.
  • Experience with Microsoft Office Suite (Excel, Word, PowerPoint) and Google Suite.
  • Previous event planning experience or involvement in student organizations is preferred.
  • Passion for helping your community.
  • Strong organizational and time-management skills.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and collaboratively in a fast-paced environment.

  • Ability to lift and move items up to 25 pounds following proper safety guidelines and lifting techniques.
  • Physical stamina to stand for extended periods during events.
  • Occasional evening or weekend availability for event support.
  • Experience with event management platforms (e.g., Eventbrite, Cvent).
  • Familiarity with project management tools (e.g., Asana, Trello).
  • Basic understanding of communication platforms (e.g., Slack, Teams, Zoom).
  • Basic understanding of audio/visual equipment setup and troubleshooting.

Icing-on-the-Cake Skills  

  • Previous event planning experience or involvement in student organizations.
  • Experience in social media marketing or digital content creation.
  • Basic knowledge of design tools like Canva or Adobe Creative Suite.
  • Experience with CRM software (e.g., Salesforce, HubSpot).
  • Knowledge of sustainable event planning practices.
  • Experience tracking expenses within a specified budget.
